Primary Purpose:
To support Region 16 Education Service Center (ESC) by providing administrative assistance accurately and efficiently to ensure quality results in a professional and timely manner.
Qualifications:
Education/Certification
- High School diploma or GED required
- Associate degree preferred
Skills
- 3 to 5 years job-related experience required
- Demonstrated proficiency in understanding Texas Student Data System (TSDS)
- Knowledge of Texas Education Standards (TEDS) and OnDataSuite preferred
- Demonstrated ability to perform assigned responsibilities while working with personnel from Local Education Agencies (LEA), and Education Service Centers
- Required proficiency in Microsoft Office Suite, Google Workspace, spelling, punctuation, and grammar
- Skilled in general office procedures including answering telephone, filing, data entry, and maintaining an organized workspace
- Must be service-oriented, a team player, self-motivated, and responsible to complete all assignments
- Exhibits tact and relates well to people
- Required ability to handle multiple tasks under pressure with ease
- Must demonstrate excellent communication skills
- Projects a positive, professional, organizational image through in-person and phone interaction with customers
Working Conditions:
- Lifting: Must be physically able to tolerate regular light lifting and carrying (less than 15 pounds); may require occasional heavy lifting and carrying (45 pounds or more)
- Environment: Must be physically able to work inside; tolerate occasional regionwide and/or statewide travel; regular exposure to noise; occasional prolonged hours

Major Responsibilities and Duties:
- Assists specialists/coordinators with duties necessary to support school districts with TSDS
- Assists with providing support for LEAs with knowledge of Texas Education Standards (TEDS)
- Assists Specialists in preparation of component ASCENDER(TM) and TSDS Workshops
- Maintains records, generates reports, and creates capable communications related to TSDS and ASCENDER(TM)
- Maintains knowledge, assists, and supports OnDataSuite for ESC personnel
- Assists Specialists in compiling information and data to produce appropriate documents and reports
- Maintains & creates Google forms to assist department with district data collection
- Assists LEA personnel with data requirements and procedures for collecting PEIMS and TSDS data
- Assists with preparation of materials for all service area workshops, conferences, and mandated reports
- Prepares correspondence, travel arrangements, reports, required forms, registrations, copying, printing, and mailings
- Maintains IMS Region 16 department website
- Assists with software installations and IMS Computer Lab maintenance and set-up needs
- Performs general administrative assistant duties, including the handling of correspondence, answering telephone, accurately recording messages and service requests, and filing material in a retrievable system
- Assists IMS Specialists with all processes and procedures of PEIMS (Public Education Information Management System, PID (Personal Identification Data), TEAL (Texas Education Agency Login), and TSDS
- Prepares requisitions and follows up with the purchaser until materials have been received and purchase orders have been returned to business office for payment
- Maintains maximum confidentiality and security of all PEIMS data Shreds all discarded PEIMS material used in the preparation of each PEIMS submission
- Maintains files and records as assigned
- Assists with the duties required within the service area under the direction of the Director
- Accepts the responsibility to complete the tasks in a timely manner which may require additional work hours during peak time submissions
- Proofreads communication for content, style, grammar, and spelling errors
- Creates and maintains databases/spreadsheets for programs as needed
- Maintains professional relationship with clients and vendors
- Assists other administrative assistants as needed
- Reports for work ready to perform responsibilities
- Performs duties that directly and/or indirectly impact student performance in Region
- Maintains a professional level of confidentiality regarding all ESC matters
- Supports the mission, goals, and objectives of the ESC strategic plan
- Upholds and adheres to safety rules and policies of the ESC safety program
- Performs professional responsibilities as required by ESC policies, processes, and procedures
- Manages time, calendar, and job responsibilities to meet deadlines
- Meets proficiency levels of required technology skills as outlined by supervisor
- Incorporates appropriate technology in daily work and exhibits continual growth in technologies as outlined by supervisor
- Performs other duties as assigned.
